Harvest British College ("the College", "we", "our", or "us") is an English-language training institution operating in Egypt. We provide in-person and online training programs, placement tests, certificates, customer service, and related communications through our website, branches, WhatsApp, and other channels.
This Privacy Policy explains what personal information we collect, how we use it, how we share it, how we protect it, how long we retain it, and how you can request access, correction, or deletion of your personal information.
By using our website, registering for a training program, booking a service, contacting us, or messaging us on WhatsApp, you acknowledge the practices described in this Privacy Policy.

Where third-party payment providers are used, card details may be processed directly by the relevant payment provider. We do not store full payment-card numbers on our systems.
WhatsApp and Communication Information
When you contact Harvest British College through WhatsApp, we may receive and process:

We use the Meta WhatsApp Cloud API to receive and send WhatsApp messages.

4. WhatsApp Messaging (Meta Cloud API)
Our WhatsApp channel is powered by the Meta WhatsApp Business Cloud API. When you message us on WhatsApp:
- Your phone number and messages are transmitted through Meta's infrastructure and are subject to WhatsApp's Privacy Policy.
- Relevant communication records may be stored in our systems so that customer service and training teams can follow up on your request.
- You may opt out of WhatsApp communications at any time by sending STOP on WhatsApp, or by emailing customercare@harvestcollege.co.uk.
- We may still send communications that are necessary to provide a service you requested or that are otherwise required by law.

We may share or provide access to personal information where reasonably necessary to operate our services. This may include:

Inquiry and messaging records are typically retained for up to three (3) years. You may request earlier deletion at any time (see User Data Deletion).
Retention periods may vary depending on the type of information and the purpose for which it was collected.

We take reasonable administrative, technical, and organizational measures to protect personal information against unauthorized access, misuse, alteration, disclosure, or loss.
These measures may include HTTPS, access controls, secure communications, restricted system access, and appropriate operational procedures.
However, no method of electronic transmission or storage can be guaranteed to be completely secure.

12. What You Can Ask Us to Delete
Harvest British College respects your right to request deletion of personal information associated with your use of our services. A deletion request may relate to:

13. How to Request Data Deletion

Subject: Data Deletion Request
WhatsApp: send STOP to 01020034000, or write that you want your data deleted.
Please include, where applicable:
- Full name
- Phone number
- Email address
- Registration or trainee information
- A clear statement that you are requesting deletion of your personal information
Example:
"I request the deletion of my personal information held by Harvest British College."
We will review valid requests and respond within 30 days.
14. Identity Verification
To protect your information, we may request reasonable information necessary to verify the identity of the requester.
We may not be able to process a request if we cannot reasonably verify the identity of the requester.
15. WhatsApp Data Deletion
If you have communicated with Harvest British College through WhatsApp, your request may include personal information and communication records held by the College.
Deleting information from the College's systems does not necessarily delete information independently held by WhatsApp or Meta.
WhatsApp and Meta operate their own systems and are subject to their own policies and procedures.
16. Processing Deletion Requests
After receiving a valid deletion request, the College will review the request and take appropriate action in accordance with applicable law and data retention requirements.
Where deletion is appropriate, we will take reasonable steps to remove or anonymize relevant personal information from systems under our control.
Some information may need to be retained where required by law, for accounting or financial records, to establish or defend legal claims, to resolve disputes, or for other legally permitted purposes.
17. Active Training or Services
If you currently have an active training program, outstanding payment, pending complaint, certificate request, or another ongoing service, certain records may need to be retained for the College to administer the service or comply with legal or financial requirements.
A request to delete personal information does not automatically cancel a training program, payment obligation, booking, or other contractual or service relationship.
PART THREE — TERMS & CONDITIONS
18. General Terms
Welcome to Harvest British College.
These Terms & Conditions govern the relationship between Harvest British College and individuals who register for, purchase, or use our training programs and related services.
By registering for a program, making a payment, booking a service, attending a training session, or using our services, you acknowledge that you have read and understood these Terms & Conditions and agree to comply with them.
19. Registration
- Registration is completed according to the program, level, package, and services selected by the trainee.
- The trainee must provide accurate, complete, and up-to-date information during registration.
- The College may request additional information where reasonably necessary to complete registration or provide the requested service.
- Registration does not guarantee a particular instructor, class time, or appointment unless expressly confirmed by the College.
- Training schedules are subject to availability and may be adjusted when reasonably necessary.
20. Placement and Program Allocation
- Where a placement test is required, the trainee may be asked to complete the test before beginning the relevant training level.
- The result of the placement test may be used to determine the appropriate training level.
- The College may use its applicable assessment system to determine the appropriate level or training pathway.
21. Training Start Date
- The training start date may be agreed upon during booking.
- Where applicable, training may begin within a maximum of fifteen (15) working days after completion of the placement test and payment of the required fees, subject to availability.
- Changes to the agreed schedule should be communicated to the College as soon as reasonably possible.
22. Fees and Payments
- Fees are payable according to the payment plan agreed upon at registration.
- Installments must be paid on the dates specified in the applicable payment plan.
- The trainee is responsible for ensuring that payments are made on time.
- Where an amount remains outstanding, access to certain services, sessions, scheduling, or other program benefits may be affected until the outstanding amount is settled.
- Additional services may have separate fees.
23. Course Materials
- Trainees should use the approved course materials applicable to their program.
- Course materials may be protected by intellectual property rights.
- Trainees must not reproduce, distribute, sell, publish, or commercially exploit College materials without appropriate authorization.
24. Classroom and General Conduct
- Trainees must maintain respectful and appropriate behavior during training sessions and when dealing with College staff and other trainees.
- Harassment, threats, abusive language, discrimination, intimidation, or disruptive conduct is not permitted.
- Trainees must follow reasonable instructions issued by instructors and College staff relating to safety, organization, and the learning environment.
- The College may take appropriate action in response to serious or repeated inappropriate behavior.
25. Certificates
- Certificates may be requested after successful completion of the applicable level and fulfillment of relevant program requirements.
- Certificate options and fees may vary according to the applicable program.
- Certificate issuance may be subject to separate fees and procedures.
- Certificate authentication by the Egyptian Ministry of Foreign Affairs may be requested separately and is subject to applicable requirements, fees, and procedures.
26. Third-Party Services
- Certain services may depend on third-party technology or communication providers, including Meta / WhatsApp.
- The College is not responsible for interruptions or technical problems caused by third-party platforms outside the College's reasonable control.
27. Communications
The College may communicate with trainees using the contact information provided during registration. Communications may include:
- Administrative messages
- Booking confirmations
- Training schedules
- Customer service responses
- Payment-related information
- Training-related communications
Where WhatsApp is used, WhatsApp communications are also subject to applicable WhatsApp policies.
28. Privacy
Personal information is handled according to the Harvest British College Privacy Policy contained in this document.
The Privacy Policy explains the categories of personal information collected, the purposes for processing, communication channels, data retention, data deletion, and applicable user rights.
29. Changes to the Terms
The College may update these Terms & Conditions from time to time.
The updated version will be published through the College's official communication channels, with the effective date indicated where appropriate.
PART FOUR — TRAINING POLICIES
30. Attendance Policy
- Trainees are expected to attend lectures according to the agreed training schedule.
- Attendance and absence are recorded within the first thirty (30) minutes of the scheduled lecture start time.
- After thirty (30) minutes from the scheduled start time, attendance may no longer be available for recording.
- A missed lecture will be handled according to the applicable attendance and make-up policies.
- Repeated absence may affect the trainee's progress according to the applicable program rules.
31. Placement Test Policy
- The placement test should be completed at the scheduled time.
- If a trainee misses the scheduled placement test, an alternative appointment may be requested subject to availability.
- A placement test may be retaken through an approved make-up session for EGP 150, subject to system availability.
- The College may use the placement test result to determine the appropriate training level.
32. Make-up Lectures Policy
- A trainee who is unable to attend a scheduled lecture may request a make-up lecture.
- Make-up lectures are subject to the attendance policy and available appointments.
- The make-up lecture fee is EGP 150 per hour.
- Make-up sessions are subject to instructor and schedule availability.
- A make-up lecture does not automatically guarantee the same instructor or time slot as the original lecture.
33. Level Repetition Policy
- If a trainee does not successfully pass a level, they may request to repeat the level.
- Level repetition is subject to availability and the applicable fees and conditions in effect at the time of the request.
- The College will communicate the applicable procedures and fees before confirming the repetition where applicable.
34. Exchange and Refund Policy
- Requests for exchange, refund, transfer, or program freezing are subject to the College's applicable policies.
- Each request may be reviewed individually.
- The review may take into account booking information, payments made, outstanding amounts, training stage, attendance, and applicable program conditions.
- Submitting a request does not automatically mean that it will be approved.
- After review, the trainee will be informed of the applicable outcome, available options, and required procedures.
35. VIP Program Freeze Policy
VIP trainees may request to freeze their diploma/program according to the following fees:

- The freeze request must be submitted through the approved College procedure.
- The requested freeze period is subject to program availability and applicable conditions.
- The maximum freeze period under this policy is three (3) months unless otherwise approved by the College.
36. Classroom Conduct Policy
- Trainees should maintain a suitable learning environment.
- Mobile phone use should be avoided during lectures unless required for training purposes or an emergency.
- Food and drinks should generally not be consumed during lectures except where reasonably necessary.
- Trainees should use the approved course materials applicable to their program.
- Training sessions are conducted in English where consistent with the nature and objectives of the program.
37. VIP Program Information
- One level consists of eight (8) training hours according to the applicable program system, including hours allocated for the relevant test.
- The trainee is responsible for the schedule and number of levels registered and documented in the applicable payment receipts.
- Make-up lectures may be requested subject to availability and the applicable policy.
- Program freezing may be requested according to the VIP Program Freeze Policy.
- Additional services may be subject to separate fees.

Complaints and requests are generally reviewed and answered within up to seven (7) working days. Additional time may be required where further information or investigation is reasonably necessary.
